Harlan,
I konw that the owner of LoneStar Comicsin Arlington wants to host
tournaments for us. That would probably cost next to nothing. I don't know
how many tables he has but it is at least 8 and with the cost savings we
might be able to rent additional tables at a rental place if necessary. Open
and close times may be an issue, but you might check into it.

Harlan,
To reduce costs, you will have to abandon Hotels as your venue site.
They just charge too much! Larger tournaments can do this as hotel
stay by participants offsets cost of venue if you can guarantee a
certain number of overnight guests. Alternatives include: local
colleges, churches, restaurants, etc.
David Beeson tells me that our local Grady's BBQ restaurants have
meeting areas and they don't charge at all. The caveat is that we
can't get in prior to 9:00 and have to leave by 22:00. However, no
cost and the availability of eating lunch without leaving the site is
a HUGE bonus. Our local group has conducted a smaller tournament here
and by all accounts, it could easily accomodate more players than we
have to worry about at this point. There should be similar places in
your area. You might ask where the Lions, Rotarians or other groups
meet as they usually have a low cost meeting place.
Another issue besides the site cost is the cost of tables. Some
places charge for tables or the cost is included in their high
prices. Renting tables costs a lot as well. One solution here is to
have your local gaming group members purchase a few playing surfaces.
When an event comes up, the members with surfaces bring them to the
event and they are placed on regular tables that are normally at any
venue. So for 15mm events, your local group has a few members that
each has about 3, 6X4 foot surfaces and this reduces the cost of
table rental to nothing. I had a few surfaces but got rid of them as
they weren't rigid enough. I am looking at getting either some cheap
3/4" plywood or building surfaces from either unfinished closet doors
or building some sort of frame with 1/4" masonite or similar surface
on top. Most venues should have dining table and chairs. If not, then
your group could buy or make saw horses to support the surfaces and
bring folding chairs.
The last costs involve prizes and awards. Prizes are usually easy as
you can get gamers and hobby stores to donate. Also, some
catalog/online vendors are usually willing to donate as well. Awards
have been more difficult from my experience. We have had contacts
with folks willing to sell awards at cost in the past but have lost
contact with them.
Does anyone else have a contact for cheaper plaques and such?
Well, I hope at least some of this helps! For venues, you might also
try looking at areas further out then you have been looking. Many
urban areas seem to have higher fees than outlying areas.
